How to integrate Google Sheets with Spoki

Many professionals use Google Sheets every day to keep track of business activities. Think of businesses that work on appointments, such as: medical centers, beauty centers, opticians, physiotherapists, etc. Usually, during a call with the customer, the date and time of the appointment are noted, and then a confirmation message is sent on WhatsApp or email.

How great would it be to automatically send a booking confirmation message on WhatsApp?

Spoki allows you to do exactly this: send a message on WhatsApp after modifying the content of a box in the Google Sheets.

In this article, we will see how to integrate Google Sheets with Spoki and how to automatically send a confirmation message to the customer on WhatsApp.

Step 1: Select the first tool on Zapier: Google Sheets

To connect the two tools (Google Sheets and Spoki) we need a connector, in our case we will use Zapier.

Zapier is an online tool that allows you to connect many apps (such as Gmail, Google Calendar, Google Sheet, Slack, Mailchimp, Hubspot, Dropbox, Instagram, Spoki and many others) to create automation flows even in the absence of a native integration.

As a first step, you will need to create a new Zap and select the first tool (in this case, Google Sheets) and proceed with its configuration.

In this way, Google Sheets, or rather, its changes, will determine the start trigger.

Then, let’s select the Trigger of the event, which in this case will be New or Updated Spreadsheet Row (Team Drive).

We indicate the Google account to use and proceed with selecting the Google Sheet that we intend to use.

How can we choose the column that will act as a Trigger Column? In our case, it will be “Appointment Date”.

N.B. The name given to the column must be identical to the dynamic field created in the Spoki platform.

We test that everything works correctly with the test trigger.

Step 2: Select the second tool on Zapier: Spoki

Let’s choose the action that Spoki should perform following the trigger.

Let’s select “Start Automation”.
With “Start Automation” we can start a message that aims to start a conversation with the user.

Step 3: Create the automation on Zapier

We create a new automation on Spoki and select Zapier as the Starting Step.
The system will automatically generate an identification code for the automation called Automation ID. Copy the ID code and close the window.

On Spoki, let’s select the template to send to the user with the respective dynamic fields. In our case, the dynamic field used in the template will be “Date Appointment“. In this case, the dynamic field will be populated with information strictly related to the message recipient.  

Let’s go back to Zapier and paste the code we saved inside the Standard Message ID field.

Subsequently, we match the data we intend to share from the Google Sheet to Spoki.

From this moment on, every time the content of a Google Sheets cell in the “appointment date” column is modified, the user subject to the modification will automatically receive the appointment confirmation message, with the updated dynamic field, on their WhatsApp number.
